7:00 am Alarm goes off. Ugggghhh… I hit snooze but try to wake myself up before the next one goes off. I am an eternal teenager when it comes to sleep and would sleep in every morning til 10am if I could! But alas, two boys need to get up and get to school!
7:15 am After the scary task of waking up a teen and tween for school, I head to the kitchen to make breakfast and pack lunchboxes (again, ugh! How many days til summer break?!).
8:00 am Both boys are off to school. Time to brew a coffee and sit and enjoy in peace! Then time to clean up the kitchen, make beds and get ready for the day.
9:00 am I start my work day by connecting with Client A knowing he’s just beginning his day. I log in to Gmail and Salesforce to prepare our admin meeting agenda. Our strong working relationship means this meeting will be a productive half-hour, filled with updates on his new project. Exciting times are ahead and I am pumped to be part of it!
I then check on a couple of outstanding tasks: confirming the RESP application was processed and the insurance payment was added. With everything in order, I schedule a follow-up for next year and email the client about the new RESP account.
9:30 am After grabbing a coffee, I’m ready to kick off the admin meeting with Client A. We’ll discuss this week’s workload and prioritize action items. Always great to connect with my clients!
10:00 am Throw in a load of laundry. There is always so much laundry. Mix up some peanut butter and yogurt and have an apple for “breakfast”!
10:15 am Switching to Client B, whose appreciation makes the work particularly satisfying. I log in to Gmail and Wealthbox, add a newly scheduled meeting to the calendar, generate a Zoom link, and set a reminder for the client. With two meetings scheduled for tomorrow, I send out reminder emails. I then connect with a client via phone who hadn't responded to emails about their annual financial review. They express their thanks for my proactive outreach. I schedule their appointment, add it to the calendar, and set a reminder.
10:45 am Moving on to Client C, I log in to check emails and Close CRM. The first task is always checking the portfolio totals of all the accounts they manage and updating the Google Sheet. I then review emails and find a client request for an RRSP deposit. I create the transfer, send it for their signature, add a follow-up task to Close to check on the signature tomorrow, and set a reminder to ensure processing is finalized.
11:15 am For Client D, I log in to check emails and Asana for tasks. A client emailed to book a session, so I update the placeholder in the calendar, send the invite, and complete the task in Asana. I send two follow up emails to clients that need to book meetings. That’s a wrap in there for now!
11:45 am Change over the laundry - put in yet another load! Grab something quick for lunch, which I eat while FaceTiming my mama to catch up on what’s going on in her life!
1:00 pm Switching focus to another client who takes up a significant portion of my time, I start by logging into Outlook and Pipedrive CRM. With 43 tasks and 11 emails awaiting me, I first scan emails for anything urgent. Once that's done, I dive into formatting and distributing voice dictations from recent meetings. Our 3 person admin team takes these downloads, formats them, saves them to OneDrive, and shares them with the wider team. This process generates our next actions, so I add any new tasks to Pipedrive and draft necessary emails.
Next, I focus on scheduling meetings. I update Pipedrive for confirmed attendees, create calendar invites, and notify the whole team. I then prepare and file meeting agendas on OneDrive. After booking confirmed meetings, I follow up with anyone who hasn't responded, strategically finding open slots in the calendar, prioritizing key individuals, and determining if in-person travel or MS Teams meetings are appropriate.
The beginning of the month also means handling finances: I pay bills, including rent. I file all invoices and receipts for our Admin Slayer Bookkeeping team and push related tasks in Pipedrive to the next month. Finally, I check off outstanding tasks, reply to any new emails, and wrap up for the day.
3:00 pm Both boys are home from school and starving, of course. I make some popcorn and send them outdoors to play with their friends because it’s finally nice outside! I make a marinade for the chicken we are having for dinner and put away the laundry that I did earlier. My kids are spoiled and I do it all for them!
5:00 pm Time to start chopping veggies and fire up the grill! Dinner time!
6:00 pm Off to softball practice with the tween!
8:00 pm Home again! Make the boys shower and ensure all homework is done! Pack bookbags for tomorrow!
9:00 pm Aaaahhh - time to settle down from the day and watch an episode of whatever show I am currently watching!
10:00 pm Bedtime!!! One of my favorite parts of my day!!!
